Strothoff International School is using OpenApply for our web-based admissions and application process as well as our school management system and ManageBac for our web-based planning and assessment platform. We need certain personal information from you to fulfil our contractual obligations. Personal information will not be used for any other propose unless otherwise stated at the time of collection.
All personal data processed at Strothoff International school are handled according to the General Data Protection Regulation No. 679/2016 applicable in the European Union („GDPR“). Strothoff International School acts as controller with regard to your personal data and the personal data of students („Personal Data“).

Categories and purpose for data processing
At Strothoff International School we collect the following data:
• Date of Birth
• Email Addresses
• Telephone Numbers
• ID Numbers (Passport, national ID)
• Educational background and historical grades
• Information about medical and learning issues
• Languages spoken at home
Strothoff International School uses this information to:
• Grant access to OpenApply
• Review the application and documents uploaded to support the application and taking a decision about admission
• Convey various messages about your application (e.g., to confirm a meeting)
• Draft the enrolment agreement
• Manage student data
Data processing under the GDPR will be lawful only if it satisfies one of the defined legal bases
The legal bases for lawful processing of data via OpenApply:
• Processing is necessary for the performance of the school contract
Please note: There are some mandatory personal data necessary to conclude the enrolment agreement and provide the educational services to students in the best interest of the students. The mandatory categories of personal data are included in the online application form you completing as a part of the application process.
All categories of data that are compulsory are marked accordingly in the application form. Additionally, all mandatory data are necessary for Strothoff International School to be able to evaluate your application and to enroll your child. Failure to provide complete and accurate information may result in refusal of your application.
• For the performance of a task carried out in the public interest
Strothoff International School processes all the Personal Data that you complete in the Inquiry Form and the Application for Admission Form, including, but not limited to the identification data, family and household data, health data and data about the educational background of your child. Furthermore, personal data collected and processed from documents and reports that you upload to the OpenApply platform.
All the data processed via OpenApply are obtained directly from you, and may be further completed by a third party that Strothoff International School requests from a former school attended by your children or derived from various tests your child takes as part of the admission process.
Other data is automatically collected by the IT systems when you visit our website. This is mainly technical data (e.g. Internet browser, operating system or time of page visit). This data is collected automatically as soon as you enter our website.
Disclosure of Personal Data
At this stage of our relationship, Strothoff International School discloses your personal data only to those members of Strothoff International School, staff, who are involved in the admission process.
Third country transfers
Strothoff International School transfers your personal data to the provider of the OpenApply web-based platform that has obtained GDPR Compliance as of 25th May 2018 (https://www.openapply.com/terms/gdpr). Once your child or children are admitted into our School your data will be transferred to ManageBac, which is our web-based platform for planning and assessment, and has obtained GDPR Compliance as of 25th May 2018 (https://www.managebac.com/terms/gdpr/)
Retention of Personal Data
Personal data uploaded in OpenApply are held for as long as you are in a contractual relation with us, and afterwards for a standard period of 10-year, period for which Strothoff International School can justify a need in storing such personal data.
For the situations where you have submitted an application via OpenApply but Strothoff International School was not able to proceed to the enrolment phase, the personal data collected from you will be held for a period of three years.
